Role Summary As Operations Manager, you’ll be the backbone of our internal operations - driving efficiency, compliance, and scalability across all functions. This is a highly autonomous role with plenty of room to shape processes, introduce improvements, and influence strategic direction. You’ll work closely with the founders and team leads to ensure our systems, people, and workflows are aligned for continued success.
Key Responsibilities Recruitment & Onboarding Operations - Maintain data integrity across our CRM (candidates, clients, placements, compliance).
- Lead onboarding for new hires and contractors, including system access and account setup.
- Ensure consultant ownership and deal tracking is accurate across platforms.
Compliance & Contract Management - Develop and manage standardised templates and workflows for contracts and deal compliance.
- Simplify and maintain documentation across SharePoint with consistent naming conventions.
Financial Coordination - Oversee invoicing and payment processes using accounting software.
- Generate financial reports and track spend, billings, and forecasts.
- Maintain Excel-based tools for timesheets and performance tracking.
Systems & Process Improvement - Evaluate and implement new tools and plugins to enhance operational efficiency.
- Customise CRM workflows and collaborate with IT for system access and upgrades.
Reporting & Analytics - Build and maintain dashboards and reports for GPPW, billings, extensions, and team performance.
- Provide insights and support for leadership reviews and planning.
Marketing & Communications - Coordinate LinkedIn and website marketing efforts with our brand new external Marketing team.
- Support visual content creation using Canva and other tools.
Office & Event Management - Manage office logistics, supplies, and vendor relationships.
- Organise team-building events and client entertainment.
Legal & Visa Coordination - Oversee visa applications and sponsorships for international hires.
What We’re Looking For - 4+ years in operations, ideally within recruitment or professional services.
- Proficiency in CRM systems, accounting software, SharePoint, and Excel.
- Strong organisational and communication skills.
- Experience leading cross-functional initiatives and driving process improvements.
- A proactive, solutions-oriented mindset with high attention to detail.
